How Converge helped RJAH improve staff collaboration with modern Meeting Room Technology
The Robert Jones and Agnes Hunt Orthopaedic Hospital (RJAH) partnered with Converge to transform six outdated meeting spaces into modern, intuitive collaboration environments, delivering a consistent user experience and improved staff productivity within a four-week timeframe.
RJAH is a specialist NHS hospital in Oswestry with a national reputation for orthopaedic surgery and musculoskeletal care, providing innovative treatments for bone, joint and muscle conditions. It serves patients from across Shropshire, the West Midlands, Wales and beyond, employing more than 1,800 staff dedicated to delivering specialist healthcare services.
Colin Pritchard, Digital End User Technology Manager at RJAH said: “Our teams are focused on delivering life-changing care every day, so we needed technology that was simple and intuitive to use, while still providing the functionality and reliability required to support effective collaboration.”

The need for simpler meeting room technology
What began as an initial outreach from Converge quickly developed into a time-critical project. RJAH had a firm deadline and needed a complete refresh of its meeting room technology within a tight four-week timeframe.
The NHS Foundation Trust's existing AV estate across its MDT room, seminar room, three meeting rooms and boardroom had become outdated and overly complex. Staff often found the technology difficult to use, resulting in inconsistent experiences between rooms and reducing confidence when hosting meetings.
Recognising the need for change, Converge's AV Specialist and Partnership Manager conducted a comprehensive site survey to assess the existing environments and understand the requirements.
"The previous setup had evolved over time and become increasingly complex. Users often needed support to start meetings, which impacted productivity and confidence when using the rooms,” said Colin.
A modern AV solution built around users
Working against a challenging schedule, Converge completed the AV site survey, solution design, quotation, procurement, installation and handover within the four-week timeframe.
Converge designed a standardised collaboration solution using technology from trusted partners Yealink and iiyama. The project was procured through the NOE CPC Link 4 Framework, providing a compliant and efficient route to purchase.
Rather than recommending a complete technology replacement, Converge adopted a pragmatic approach. Where existing equipment remained fit for purpose, it was retained and integrated into the new design. This reduced unnecessary expenditure, minimised waste and delivered greater value for the hospital. In other spaces, rooms were completely refreshed with new collaboration technology, including large-format displays ranging from 65" to 86".
The result was a consistent meeting room experience across all spaces, delivering straightforward room control, high-quality audio and video capabilities, and a user-friendly interface that staff could adopt immediately. Converge also provided complete installation, testing, user training and handover to ensure every room was fully operational from day one.

Empowering staff with easy-to-use collaboration tools
The transformation has significantly improved the meeting room experience for staff throughout the site. By replacing a complicated and inconsistent setup with intuitive technology, users can conduct meetings seamlessly, without interruption. The simplified experience has increased user adoption, reduced frustrations and improved collaboration across teams
Colin said: "The difference is night and day. With the old equipment, staff were often hesitant to use the rooms because the technology could be difficult to navigate. The new solution is incredibly intuitive, giving users the confidence to walk into any room and start collaborating immediately."
"Converge understood our requirements from the outset and delivered exactly what we needed within a challenging timeframe.”
The introduction of modern Yealink conferencing solutions and iiyama displays have created a far more professional and engaging experience for both in-room and remote participants.
Colin continued: "The cohesive technology in the meeting rooms has been genuinely transformative. We've significantly improved the user experience while maintaining all the functionality we need. Staff are no longer worried about the technology, they just plug in and go.”
Through a combination of user-centred design, technology investment and rapid delivery, Converge helped RJAH create a modern collaboration environment that supports staff productivity today while providing a scalable foundation for future requirements. Ongoing support and maintenance services ensure the solution continues to deliver value long after implementation.
